European and American Imprints
Scope
Theodore Front Musical Literature, Inc. has been servicing blanket/approval plans for books, scores and recordings for more than three decades. Our goal is to provide timely, complete and accurate information on newly issued/released publications in each of the three general areas mentioned above.
Our commitment to service and quality information and the knowledge of the changing needs of music libraries today, as well as continuous feedback from our clients have enabled us to modify and improve the profiles of our blanket/approval plans. Many such changes were initiated by suggestions and requests from you and your colleagues.
Blanket/approval orders can facilitate, enhance and streamline a library's collection development process in several ways:
- They provide newly available materials for immediate use by faculty and students as soon as they are published. Thus, the library's collection is automatically kept current and well stocked with the latest research and study materials.
- They save the library valuable professional and clerical staff resources by eliminating the timely selection and verification processes usually undertaken by the acquisitions/serials/order departments to maintain the collection's development.
- They allow a more efficient allocation (distribution) and use of purchasing resources. The initial budget allocation insures that certain funds are reserved for monograph and serial acquisitions throughout the year. Also, the library is assured of a constant flow of materials which helps the human resources avoid panic situations frequently encountered at the beginning or end of the fiscal year. Periodic management reports are provided to monitor and secure the correct use of funds.
Budgets as small as $1,500 and as large as $60,000 have been accommodated. The most significant feature of a customized blanket/approval plan is that it is designed to best suit your library's profile. It is your individually tailored plan, as you determine the broad outlines and establish the details for inclusions and exclusions to fit your current needs and future plans.
Smaller academic libraries and music libraries without a basic core collection of material may see a potential drawback with blanket/approval plans in that they exclude retrospective selection of important materials. For such cases, we have developed recommended listings of scores in various categories, following the guidelines of the Music Library Association. Thus, a retrospective collection build-up can be accomplished in parallel with maintaining a flow of currently published materials.
The most unique feature of our approval plans is the highly personalized attention dedicated to each of our blanket/approval clients. We continuously monitor the suitability of the parameters outlined in the profile of every plan. By communicating with every account, listening to suggestions and always being prepared to implement enhancements and changes, we secure our clients' complete satisfaction.

Our approval plans provide extensive and international coverage. For music scores, two general areas are usually selected (Note: The name designations do not inclusively indicate all countries covered.):

- Imprint Date
Coverage usually begins with publications copyrighted in the year the blanket/approval plan is instated or renewed. When a formerly copyrighted work is released for the first time in the current year, it will automatically be included.
- Series
Our service provides interfacing of blanket and standing orders to avoid duplication. All new volumes in series for which your library has a standing order established with us will be automatically excluded. For new series, we generally send the first volume for examination to help you determine whether or not you want to set up a firm standing order. New volumes published in on-going series will not ordinarily be included in the blanket/approval shipments. If this is desired, we ask our clients to provide a listing of music series currently on standing order with other firms, in order to avoid duplication. We invite you, however, to establish your subscription orders for these publications.
- Areas of Special Interest
We invite you to include a list of publishers, subjects, composers/authors and genres that are of special importance to your collection's development for which you may want comprehensive coverage where the general guidelines do not apply.
We have deliberately avoided categorizing composers according to some arbitrary value judgement assigned to their work or to the historical/musical significance of their total output. We consider that such categories are not only inflexible and limiting, but also predicate and dictate how music libraries should build their collections.
We understand that all librarians have a goal and profile for developing their music collection, based on carefully selected criteria and finely tuned to the needs of their institution: faculty, students, performance organizations, and instructional centers using their library's resources. We are happy to work with our clients and provide the needed guidance to help realize their objectives.
We encourage our clients to make their individualized selection on composers and publishers they wish to include in their blanket/approval plan. Appendix C provides a listing of names most commonly selected by our clients. You may cross out the names you want excluded from your coverage and add those not included in the list whose works you wish to receive. Also, you may choose to receive only representative samples of a composer's total output, rather than every work he has written. This you may select by entering a "S" following the composer's name to indicate "Selective" coverage.

We have developed an alternative type of selecting music scores for a blanket/approval plan that includes all the output of a particular publisher, regardless of genre or format. Thus, your library may wish to acquire all newly issued publications of:

- Masters Music/Well-Tempered Press
- Breitkopf & Haertel Editions
- Baerenreiter
- Theodore Presser
- Hal Leonard (G. Schirmer, AMP)
- Boosey & Hawkes
- C.F. Peters
- "Feminist presses" including: Ars Femina, Furore, Clarnan, Vivace, Arsis, Hildegard or any other publisher whose specified output would best match your library's profile.
Publisher specific plans have become increasingly popular in recent years.
Volumes in series to be included or omitted. Please select the series where new volumes should be automatically included in the approval shipment.

Pricing and Discounts
If there is a price limit per volume over which you either do not wish to receive the work or would like it offered for selection, please specify. We have found that a limit of $100 to $125 per title assures that all important works are received.
Libraries participating in Theodore Front Musical Literature's blanket/approval plan for music scores receive a 10 percent discount off current retail list prices. The same service and discount is provided to subscribing accounts for items ordered individually from our Quote Slips.
Invoicing and Shipping
All blanket/approval shipments are accompanied by multi-part long-form invoices, itemized and alphabetized, and are sent every three to four weeks. Should an alternative shipping schedule be preferred, we will readily comply with your specifications. If you wish that the total dollar amount or number of titles on each invoice (shipment) not exceed a certain limit, please specify.
When a special order number is designated for the blanket/approval plan, it will be quoted on all invoices. Generally, unless otherwise requested, we assign a different account number to blanket orders so that statements can be kept separate for these accounts.
Each shipment includes 1 to 4 copies each, as specified, of our 3 x 5 cataloging slips for each item billed. The slips provide full bibliographic information, including series name, the publisher's location, name and edition number as designated by the publisher, as well as annotations concerning the value and use of the material.
Returns
Materials will be accepted for returns for any reason, since we recognize that it is impossible, even with a carefully devised plan, to know exactly what is not desired for your collection. We request that all returned items be unmarked, shipped by United Parcel Service, and have an accompanying note stating the reason for return so that we can monitor our progress and modify our future selections accordingly. Returns are allowed up to 6 months after invoice date; beyond that point, please write for permission. You may deduct the amount from an unpaid invoice, or allow us to issue a credit memo if you prefer. We also have self-issuing credit memos which you may prepare.
Over the last two decades the percentage of returns we have experienced has by far been the lowest in the industry. This, we believe, is indicative of our scrupulous selection processes and the discriminating standards applied in accordance with our client's specified guidelines.
Unique Service Enhancements
It is our continuous goal to provide maximum research support and professional expertise to our clients. We consider it our duty to keep track of projected publication dates, reprint schedules and use such information to simplify and minimize our client's work. If a publication is announced as "temporarily out of print" or "out of stock" by the publisher, we will keep the order open until the item becomes available once again, within the library's specified time frame.
When the publication becomes "permanently out of print", our customized search service for out-of-print materials takes over. We deal with hundreds of sources active in the out-of-print market and continuously look for titles in our search files. When a match is found, we offer the item to the client with a full description of its condition and price. There is no charge and no obligation for this service.
Many of our clients benefit from using the Special Subject Listings generated from our daily updated data-base. These can be provided on continuous slips or as a list, and can be formatted from the general to the specific: thus, one can have an output with all woodwind music, including all solo and ensemble material, or, only for flute music. The list/slips can also be generated to be comprehensive, or to only cover publications with specific copyright and/or release dates. Thus, libraries can instantly learn of all miniature scores published in the last 6 months for example, or all vocal scores with a 1996 copyright date.
New Title Quote Slip Service
Once a month, we mail out Quote Slips announcing newly published materials, assembled and input by our bibliographers after careful inspection. These 3 x 5 perforated slips are alphabetically generated on continuous forms for ease of use and convenience. The slips contain full bibliographic information and annotations intended to facilitate the library's decision on the desirability and suitability of the title for its collection development profile.
Our goal is to provide complete information to our clients regarding newly published materials; thus, libraries subscribing to our blanket/approval plans can select items that would not automatically be sent on their order due to previously established guidelines and exclusions.
Theodore Front Musical Literature also offers Quote Slips free upon request to librarians who prefer to make the decision on the individual selection of all material for their libraries' collections.
